One platform to unite them all – Global Intranet Governance

By Anthony Guevara, Practice Leader for Microsoft SharePoint and Enterprise-ready Social Computing Services Stefanini, Inc.

Intranets were created as a business tool within a single enterprise whose function was to enable the sharing of basic information and resources among the organization’s employees.  Modern intranets have evolved into more sophisticated content management and collaboration platforms that help increase productivity.

Today most organizations define their vision of the intranet with terms like blackboard, collaborative “team sites”, communication, application gateway, careers and job postings, common forms, departmental information, news, travel, product and human resource information, schedules and events, and more.

How do you define or envision your organisation’s intranet? How will you begin to create, or advance to, one common gateway to meet the primary needs of employees globally?  Maturing an organisation’s vision for its intranet requires a solid governance plan that is supported by a single platform, which is often Microsoft SharePoint. The single foundation will replace the many disparate, legacy intranet technologies and implement a solution that improves usability and access to the business information and applications.

A single platform will aide in improving stewardship of content, and enhance communications, and better govern access to resources.  As mentioned, to support this effort organizations are increasingly turning to Microsoft SharePoint as the platform of choice because of the focus on strong collaboration and the natural extension of the current established standards, such as Internet Explorer and Microsoft Office.

As the activity and use of SharePoint increases over time, the need to create and maintain a consistent approach to governance across and among the many stakeholders within the organisation becomes mandatory.  Intranet governance specifies the decision-making authority and accountability framework required within the team responsible for oversight of the intranet.

Eight key benefits of consistent intranet governance include:

  1. Foster an environment that improves the stewardship of content
  2. Manage standards and consistency across the solution
  3. Create a structure and framework to measure success
  4. Plan & control intranet design and usage
  5. Maintain consistent information architecture of sites
  6. Deploy intranet services and content throughout the organization more efficiently
  7. Foster an internal community that is informed better
  8. Foster a collaborative environment based on knowledge and resource sharing among sites
